Buying a Custom Domain for Email Broadcasts


If you want to use Broadcast to send emails, you'll need to set up a custom email domain. It's a quick process that adds a big layer of protection for your practice.

Important: domains must be purchased through SigmaMD

To use email broadcasts, your custom sending domain must be purchased directly through SigmaMD using the steps below. Domains purchased externally — from another registrar or provider — are not supported at this time and can't be connected to this feature.

Why do I need this?

When you send emails from SigmaMD without a custom domain, they go out through a shared system. That's risky — because if someone else on that system sends too many emails or gets flagged as spam, your messages might also get blocked.

The same is true for using your practice's main domain. If an email is flagged as spam by recipients, you may start facing delivery issues on your main email.

That could mean important stuff — like invoices, updates, or care reminders — never reaches your patients.

Setting up a custom domain gives your broadcasts their own identity, protecting your practice's email reputation and improving delivery rates.

How to get started

  1. Go to Practice Settings → Integrations

  2. Click 'Buy domain'

    A window from our partner IONOS opens where you can buy your new domain.

    Tip: you can just add the word "mail" to your current domain. E.g. if your practice's main domain is sigmahealth.com  , you can try sigmahealthmail.com  .

  3. Wait for the "Order placed" screen — don't close the window early

    After you pay, the setup runs through a few automatic steps and can take a couple of minutes. You'll pass through several loading screens — a "Thank you for your order" page and one or two "please wait" screens. This is normal — keep the window open and don't click the ✕. When it's finished, you'll see a green "Order placed" confirmation. Click "Back to [your practice]" to return to SigmaMD.

⚠️ Important: If you close the IONOS window before you reach the green "Order placed" screen, the purchase may not finish and your domain won't be set up — you'd have to start over. Always wait for that final screen.

After you're back in SigmaMD

Your domain appears under Practice Settings → Integrations as Email Domain – Active. DNS setup can take up to about 10 minutes, and you'll receive a confirmation email letting you know your domain was linked successfully. Once it's active, you can choose email as a delivery option when sending a Broadcast.

Troubleshooting

Didn't reach the "Order placed" screen, or closed the window early? The purchase may not have registered. Check Practice Settings → Integrations — if your domain isn't listed as Active after about 15 minutes, email help@sigmamd.com and we'll check the status and help you finish or restart it.
