How to Ship Items from an Invoice

SigmaMD integrates with Shippo to help practices ship medications and other items directly from invoices. This feature is available only for patient invoices and becomes visible after the practice connects a Shippo account.

Prerequisites

Before you can use shipping:

  • Go to Practice Settings > Integrations.
  • Connect your practice to a Shippo account.
  • Once connected, the Add Shipping button will appear in patient invoices.
  • You can disconnect at any time, and the option will no longer be available.

Adding Shipping to an Invoice

  1. Create or open a patient invoice that includes the items to ship.
  2. Click Add Shipping at the bottom of the invoice draft. The button is only enabled once items are added.

  3. Complete the shipping form:
    • Package Content: All invoice items are pre-selected.
    • Package Details: Enter dimensions and weight. You can create default package templates in Practice Settings > Shipping.
    • Packing Slip: Choose whether to include a packing slip.
    • Sender: Pre-filled with your practice’s address (also used as the return address).
    • Recipient: Pre-filled with the patient’s preferred address. You can add or edit addresses as needed.
    • Shipping Method: Options are shown after package details are completed.
    • Shipment Date: Defaults to today. Be sure to create the label on the same day or the day before shipping, since labels can expire. 
    • Print Options: Select a shipping label format. A default can be set in Practice Settings > Shipping.

  4. Click Save to add shipping to the invoice.

Issuing and Editing

  • If you add items to the invoice after creating the shipping label, they won’t be included automatically. You’ll need to edit the shipping form before issuing the invoice.
  • Removing an item from the invoice will also remove it from the shipping form.
  • If the shipping label is removed before issuing the invoice, you can create another label.
  • Once the invoice is issued, you can no longer edit or add items.

Tracking and History

The Shipping History table, located in Billing > Shipping History, shows:

  • Shipping number: Shipped items are grouped under the shipping number.
  • Status (Processing, Pending Shipment, Shipped, Delivered, Returned, Canceled, Error, etc)
  • Recipient
  • Shipping method
  • Cost
  • Shipping label status (Processing, Generated, Refunded, etc.)
  • Tracking number (if available)
  • Date created

Statuses are updated automatically via Shippo.

Canceling or Removing Shipping

  • You can cancel shipping only if the label is unused, under 30 days old, and not refunded.
  • Canceling will remove the label and refund must be requested in your Shippo account.

Return Orders

  • SigmaMD currently doesn’t support creating return labels. If your patient needs to return items, you can create a return label in your Shippo account.
