How SigmaMD Scribe Handles Patient Data

SigmaMD’s Scribe is designed to save clinicians time while keeping patient privacy and data security at the forefront. Below is an overview of how Scribe works and how patient data is managed.

What the AI Scribe Does

With the patient’s consent, the clinician can record a visit to generate a draft clinical note.

  • The audio recording is processed to create a transcript.
  • A suggested note is generated from the transcript.
  • The clinician reviews and edits the note before saving it to the patient chart.

What We Record

  • Audio from the visit (only when consent is given).
  • A transcript, generated from the audio, is then used to produce the draft note.

How Data Is Used

  • The data is used only to generate the draft clinical note for that specific encounter.
  • It is also used to ensure the Scribe feature functions correctly.
  • Patient audio is not used to train AI models.

Where Data Is Processed

SigmaMD partners with trusted processors under Business Associate Agreements (BAAs):

  • OpenAI for language processing.
  • Deepgram for speech-to-text conversion.

How Data Is Protected

  • All data is encrypted in transit and at rest.
  • Access is limited to authorized personnel only, all bound by HIPAA obligations under our BAAs.

For How Long Is Data Kept

  • Audio recordings are automatically deleted after 15 days.
