How to Restock an Inventory Item

Restocking keeps your medication and supply levels accurate. Each restock updates stock counts, batch details, and pricing information, ensuring your inventory is always up to date and ready for patient care.

Restock an Inventory Item

  1. Go to Billing > Charge Items > Inventory Items.
  2. Locate the item you want to restock from the list.
  3. Hover over the item and click Restock.

  4. A side panel will open, where you can enter the restock details.

Entering Restock Information

If it’s a Medication

  • SigmaMD will prefill: Item name, category, unit, strength, and low stock threshold.
  • You need to manually enter: Batch details (lot number, expiration, etc.), stock quantities, wholesale cost, and optional supplier/manufacturer.
  • Defaults applied: Category markup and sales tax (can be adjusted if needed).
  • Click Save to update your inventory.

If it’s a General Item

  • SigmaMD will prefill: Code, item name, category, and low stock threshold.
  • You need to manually enter: Lot number, stock quantities, wholesale cost, and optional batch/supplier details.
  • Defaults applied: Category markup and sales tax (can be adjusted if needed).
  • Click Save to update your inventory.

Lot Numbers

When restocking items, SigmaMD automatically organizes stock based on the lot entered:

  • Different lot numbers within the same item: Each distinct lot number creates a new child row under the main inventory item.
  • Same lot number within the same item: The newly entered quantity is added to the existing child row for that lot number.

This ensures that quantities for identical lots are combined while maintaining traceability for separate lots of the same medication.



Use the History tab in the restock panel to review past restocks and dispenses for traceability.
