Internal Notes in Chats

Internal notes let staff members communicate privately within SigmaMD without the patient seeing the message. These notes are only visible to team members who have access to the same chat or fax conversation.

Where You Can Add Internal Notes

You can use internal notes in two areas of SigmaMD:

Patient Chat

Use internal notes to share context, updates, or next steps with your team directly within the patient’s chat.

  1. Open the patient chat.
  2. Click the Internal Note tab to write a private message.


  3. Your note will appear visually distinct from patient messages, ensuring clarity between team communication and patient conversations.

Fax Inbox

Use internal notes to document follow-up actions, clarify information, or track decisions related to incoming or outgoing faxes. This helps maintain an organized and auditable communication trail within your team.

Why Use Internal Notes

Internal notes help your team stay coordinated without interrupting the patient experience. They’re especially useful for sharing quick updates, assigning next steps, or recording internal decisions—all within the context of the patient or fax thread.
