Fax Reply & Saving the Annotated Version

You can add annotations to any received fax, reply to it directly, and save the annotated version to the patient’s chart.

How to Reply to a Fax

  1. Open a received fax from your inbox.
  2. Add annotations, if needed.
  3. Click Fax reply in the top right corner.



The system will automatically:

  • Set the From location and fax number.
  • Pre-fill the To field with the original sender.
  • If annotations were added, the annotated version will be attached

You can also:

  • Select a patient.
  • Enable Save to files to store a copy in the chart.
  • Add a title (required before sending).
  • Add a cover page, if needed.
  • Upload additional files.

Click Send to complete the reply.

How Annotated Versions Are Saved

When you click Fax reply, the current annotated version is flattened and attached to the outgoing fax.

If a patient is selected and Save to files is enabled at that time, the flattened (annotated) version is saved to the patient’s Files section under the selected folder.

If you want to save the original (non-annotated) version, you must link the fax to a patient directly from the received fax screen.

Important Behavior to Know

If you:

  • Receive a fax that is not linked to a patient,
  • Add annotations, and
  • Link the fax to a patient afterward,

Only the original (non-annotated) version will be saved to the patient’s Files.

The annotated version is saved only when the patient is already selected and Save to files is enabled at the time you send the reply.
