Broadcast DNS Troubleshooting

Broadcast emails rely on DNS records configured with your domain provider. If these records are missing, modified, or invalid, SigmaMD cannot verify your domain, and email broadcasts will stop working.

You may be experiencing a domain configuration issue if:

  • Broadcast emails that previously worked no longer send
  • The Email option is unavailable when creating a broadcast
  • Scheduled email broadcasts are canceled instead of being sent
  • Your broadcast domain displays an error status in SigmaMD

Why this happens

When a custom email domain is configured, SigmaMD requires several DNS records to authorize email delivery on your behalf.

These records can become invalid if:

  • DNS settings are edited at your domain provider (such as IONOS)
  • Required records are accidentally deleted
  • Your domain or hosting provider has been migrated
  • Existing DNS records are overwritten during another configuration change

When the required records are missing, email broadcasts cannot be verified, and SigmaMD blocks outgoing email delivery.

How to Verify Your Domain Status

  1. Navigate to Practice Settings
  2. Select Integrations
  3. Locate your Email Domain
  4. Review the current domain status

If the domain displays an error or verification issue, the DNS records should be reviewed at your domain provider.


Required DNS Records

Your broadcast domain requires several DNS records to remain active.

Record Type

Purpose

MX Routes delivery and bounce information for broadcast emails
SPF (TXT) Authorizes SigmaMD's email provider to send emails on behalf of your domain
DMARC (TXT) Defines how unauthenticated emails should be handled
DKIM (CNAME) Digitally signs outgoing emails to improve deliverability and prevent spam filtering

The DKIM records are unique to your domain and must match the values provided by SigmaMD.


Updating DNS Records in IONOS

If your practice uses IONOS as the domain provider:

  1. Sign in to your IONOS account
  2. Open Domains & SSL
  3. Select the domain used for broadcasts
  4. Open DNS
  5. Compare your existing records with the DNS records provided by SigmaMD Support
  6. Add any missing records and correct any invalid entries
  7. Save your changes

After DNS records are added or updated, it may take up to 72 hours for the changes to propagate across the internet.


Once all records have propagated and verification is successful, the domain status will return to active, and email broadcasts will be available again.
