Tracking Where Your Enrollments Come From

If your clinic runs ads, referral campaigns, or multiple landing pages, you probably want to know which one actually brought each new patient in. You can now add a tracking tag to your enrollment link. When someone signs up through that link, SigmaMD quietly stores the tag alongside their enrollment, so your marketing tool can connect the signup back to the campaign that produced it.

Nothing about the signup experience changes. Patients never see the tag, and they are never asked about it.

Before You Start

This is useful if you already use a marketing or analytics tool that tracks where your website visitors come from. The tag is how that tool recognizes a SigmaMD signup as one of its own visitors.

If you do not use a tool like that, there is nothing to set up here.

Start with the enrollment link you already share. You can find it under Billing, then Enrollment Links. It looks something like this:

yourclinic.sigmamd.com/signup/family-plan

To tag it, add a question mark, then ref=, then whatever label you want to use:

yourclinic.sigmamd.com/signup/family-plan?ref=spring-campaign

Use that full link wherever the campaign lives — the ad, the email, the landing page button. Everyone who signs up through it will carry the spring-campaign tag.

You can create as many tagged versions of the same link as you need. One per ad, one per referral partner, one per newsletter. They all lead to the same signup page and the same plan.

If your link already has a question mark in it, use an ampersand instead:

yourclinic.sigmamd.com/signup/family-plan?something=value&ref=spring-campaign

What Makes a Valid Tag

  • Up to 200 characters.
  • Letters, numbers, hyphens, and underscores only. No spaces, accents, or symbols like @, /, or &.
  • Capitalization matters. Spring-Campaign and spring-campaign are treated as two different tags, so pick one style and stay consistent.
  • If you use the same tag twice in one link, only the first one counts.

If a tag breaks any of these rules, SigmaMD simply ignores it. The signup still works exactly as normal and the patient sees no error. This is deliberate: a tracking label should never be able to block someone from enrolling. It does mean a typo fails quietly, so it is worth testing a tagged link yourself before launching a campaign with it.

The Tag Is Recorded Once

A patient's tag is set the first time they enroll and does not change afterward.

If someone enrolls, cancels, and later re-enrolls through a different tagged link, they keep the tag from their original signup. This keeps your attribution honest — a patient is credited to the campaign that first brought them to your clinic, not the most recent link they happened to click.

Reading the Tag Back

The tag does not appear anywhere in SigmaMD. You will not see it on the patient chart, in the patients list, or in an export.

It will soon be available through the SigmaMD API, but you can already start capturing and storing the data for future reference.

A Note on Privacy

Never put patient information in a tag. No names, email addresses, phone numbers, dates of birth, or anything about their health or reason for seeking care.

The tag is stored exactly as written and is shared with the outside tool you have connected. Campaign names, channel names, and the anonymous visitor codes your marketing tool generates are all fine. Anything that identifies a specific person is not.
