Discarding Inventory Lots

Medications and supplies sometimes leave your stock without being dispensed or sold, because they expired, were damaged, or were dropped. Discarding a lot removes those units from inventory and records why, so your stock counts match what is on your shelves.

Each discard is tied to a specific lot number, which keeps a clear record of what was lost and when.

What Is a Discard?

A discard removes a quantity of units from one lot in your Inventory Items list. When you discard units:

  • The lot's available stock decreases by that quantity
  • The reason and notes are saved with the entry
  • The discard appears in the lot's Activity Log
  • Low stock alerts still apply to the new quantity

A discard cannot be undone, so the history always reflects what actually happened.

Discarding Units From a Lot

Hover over a lot row and click Discard medication (or Discard item for general items).

In the dialog, fill in:

  • Quantity: up to the lot's available stock
  • Reason: Expired, Damaged, Dropped, or Other
  • Notes: optional context about the discard

Click Confirm to record the discard.

Where Discards Appear

Open Medication History or Item History on a lot row and select the Activity Log tab. It lists every stock change for that lot, such as Stocked, Restock, Adjustment, and Discard with its reason. You can search by action, sort by date, and download the log as a CSV file.

Important Considerations

  • Discard is available on any lot with a lot number and available stock
  • Inactive and expired lots can still be discarded
  • The quantity can't exceed the lot's available stock

Best Practices

  • Discard expired units instead of editing the remaining stock
  • Add a note whenever you select Other
  • Review the Activity Log when stock counts don't match
