Understanding the Reports
The Reports feature in SigmaMD is designed to provide a comprehensive overview of your practice's financial activities, with a particular focus on invoicing. This guide will explain how to navigate and use the Reports screen effectively.
Overview of the Reports Screen
The Reports section in SigmaMD gives your practice a detailed view of financial activity—from revenue and transactions to tax reporting and monthly summaries. Use the tabs at the top of the screen to switch between different report types. All reports can be filtered by date range and downloaded for recordkeeping.
Revenue
View all revenue generated by your practice, including charge items and membership fees. Each entry shows the service date, patient or employer, clinician, and total amount. Useful for understanding what services are generating income.
Transactions
Track individual payment records. You’ll see the payment status, date, method (e.g., card, cash, check), payer, and amount. Helps reconcile payments received from patients or employers.
Batches
Summarizes payments grouped by batch number. Each batch shows the number of transactions, gross sales, any refunds, and net totals—organized by payment method. Ideal for matching deposit records.
Sales Tax
Displays taxes collected per invoice. You can see the associated tax profile (like NY Tax or California Tax), amounts, and invoice status. Useful for preparing tax filings and validating compliance.
Chargeback
Shows any chargeback activity tied to card transactions, including card type, last four digits, creation date, reason, and disputed amount. If no chargebacks have occurred, this screen will remain empty.
Accounting Periods
Monthly summaries of what was billed, received, still owed, fees incurred, and taxes. Periods can be in one of three states: Open, Locked, or Unlocked. This is useful for closing books or preparing financial statements.
Monthly Statement
Provides a PDF statement from your payment processor (USPAY) with a summary of fees and activity for the month. Statements can be filtered by month and previewed within the app.
Invoices Report
The Invoices report provides a detailed list of all invoices, including their status, member details, description, issued date, due date, and total amount. This report allows you to filter and sort invoices based on various criteria to find specific records quickly and efficiently.
Filtering Criteria
To streamline your search for specific invoices, the Invoices report includes several filtering options:
- Status: Filter invoices by their status (e.g., Draft, Issued, Paid, Partially-paid). For a detailed explanation of each invoice status, refer to Understanding Invoice Status in SigmaMD.
- Member: Filter invoices by member name to view all invoices associated with a particular member.
- Date Range: Select a specific date range to filter invoices issued within that period.
- Overdue: Toggle this option to display only overdue invoices.
Creating New Invoices
The Reports screen also allows you to create new invoices directly. This feature is particularly useful for quickly generating invoices without navigating away from the Reports section.
