Memberships in SigmaMD provide a flexible and comprehensive way to manage patient memberships, ranging from individual plans to family or group plans. Plans come with a set of billing rules and a list of seats that can be filled by members. This article provides an overview of how to create and manage memberships within SigmaMD, focusing on retail memberships (employer memberships will be introduced later).
Creating a New Membership Plan
To create a new membership plan, navigate to the "Membership Plans" section under the "Billing" menu. Click on "Create Plan" to open the form for creating a new membership plan. Here's a detailed breakdown of the form:
Plan Name: This is an open text field where you can enter its name. Be aware it has a limit of 100 characters.
Invoice Description: An optional open text area where you can provide a description of the plan. This description will appear on invoices.
Charging Cycles: Define the billing frequency for the plan (e.g., every month, every 3 months). A minimum of one cycle is required, and the duration cannot be less than one month. You can add multiple cycles with different frequencies, but the maximum duration for a single cycle is 99 months.
Cycles can also have a minimum. E.g. if you have a monthly cycle but want patients to commit with a minimum of 3 months, you can set a minimum of three cycles.
Billing Settings
Add a Subscription Term: Default is disabled, but when enabled, it defines the length of the subscription. The term must be at least as long as the longest charging cycle. E.g. if you have a cycle that charges the patient every 3 months with a minimum of 2 cycles, the subscription term cannot be lower than six months.
When enabled, choose if you want the membership to auto-renew and if members should receive renewal notifications.
Sale Tax: Select between applying the default tax profile set for the practice, a different tax profile, or disabling tax for this membership plan.
Coverage Policies: Search and select coverage policies that apply to this membership. Each policy can only be selected once.
Managing Plan Seats
Each membership plan can accommodate multiple members through its "seats" feature. Here’s how you manage seats within a plan:
Plan Seat Name: By default, seats are named "Member 1", "Member 2", etc., but this can be customized. You can add up to 50 seats per plan.
Plan Seat Requirements: Each seat must have a minimum and a maximum age defined. The minimum age cannot be higher than the maximum age. If the maximum age is left blank, it will be considered as "No max-age".
Plan Seat Pricing: Define the price for each seat based on the charging cycles. Each seat can have different prices for different durations (e.g., 1 month, 6 months).
Finalizing the Membership Plan
After filling out the details, click on "Create Plan" to save the membership plan.
