How to Send a Broadcast Message

Broadcast messages can be sent in real time or scheduled in advance — and they can go out via chat, email, or both. Here’s how to send your first one.

Step 1: Go to the Broadcast screen

From the main menu on the left, click Broadcast under Inbox to see previous messages or send a new one.

Step 2: Click "+ Broadcast Message" to start

A modal will appear and you can start creating your messages.

Changes will be automatically saved as you start filling the fields and the message will show on the table with a Draft status.

Step 3: Give it a title and choose when to send

This title is just for internal use — it helps you identify and organize your broadcasts.

On Delivery Details you can either choose:

  • Send now — the message will go out as soon as you click "Send".
  • Schedule delivery — pick a future date and time for delivery. Date and time are displayed on the practice's time zone.

Step 4: Select your recipients

Use filters to choose who will receive the message:

  • Patient status (active, inactive, etc.)
  • Membership plan
  • App users
  • Assigned clinician
  • Tags
  • Last signed note date
  • Last appointment date
  • Next appointment date

You’ll see a real-time count of recipients for each delivery method — chat and email.

Step 5: Attach forms (optional)

Below Selection Criteria, use Send Forms to attach one or more of your practice's published forms or packages to the broadcast. Click "Attach forms" to pick which ones to include.

Attached forms are sent through whichever delivery methods you select for the message — chat, email, or both. Each attached form in the list shows a link to open it and a button to remove it.

Step 6: Write your message

Select whether the message should go via chat, email, or both.

Next to the Chat and Email checkboxes, click "Recipient list" to preview the exact list of patients who'll receive the message on each channel before you send. If you've changed a filter since your last save, save the message first — the button stays disabled until the saved criteria match what's shown.

Each delivery type has its own editor:

  • Chat: Max of 2,000 characters, emojis supported, attach up to 10 files (20MB total). Patients will receive the message on their Patient App.
  • Email: Add a subject, message body, and choose a reply-to address—this is the email that will receive patient replies. You can also use personalization variables like $patientFirstName on the title and message body.

Step 7: Send or schedule

Click "Send" to send it now, or choose a time and hit "Schedule." Done!
