How to Add a Guarantor
You can add a guarantor to any patient profile to ensure accurate billing and responsibility tracking. A guarantor is the person or entity responsible for the patient’s financial obligations.
A guarantor is assigned automatically when a new patient is created if the caregiver has an address saved before the new patient is added. SigmaMD will automatically link them as the patient’s guarantor during creation.
If no address is available, the system will not assign a guarantor automatically, and you’ll need to add one manually.
Step 1: Open the Patient’s Profile
- Go to the patient’s chart and open the Patient Payment section.
- Scroll to Guarantors and select the + Add guarantor button.
Step 2: Fill Out the Guarantor Details
A modal will open where you can enter:
- Relationship – Select the guarantor’s relationship to the patient
- First Name and Last Name
- Phone number – Optional field
- Address Line 1 – Start typing to search and select an address from Google suggestions
- Address Line 2 – Optional field for suite or apartment number
- Zip code – Mandatory field with 5 characters
You can also check the box to Use this as the patient’s preferred guarantor, which will highlight the guarantor on the patient’s profile.
Step 3: Save the Guarantor
- Click Save to save the new information.
- The guarantor will now appear under the Guarantors section.
You’ll see a confirmation message when the action is successful. If something goes wrong, an error message will appear so you can try again.
Notes
- You can only have one preferred guarantor per patient.
- A caregiver can only be deleted as a guarantor if there is more than one caregiver linked to the patient.
- If the preferred guarantor is deleted, another linked caregiver should automatically be promoted to preferred guarantor, allowing the previous one to be removed.
- Editing the patient’s address should update the associated guarantor’s address. The same applies when a caregiver updates the care recipient’s address.
- Changing the secondary address to the preferred address should also update the guarantor’s address accordingly.
- When editing the patient’s name, it should be synchronized with the corresponding guarantor.
- When a care recipient becomes a regular patient, they should automatically be assigned as their own guarantor.
