How to Configure Bookable Clinicians in Appointment Types
To ensure that only specific providers appear during patient self-scheduling, you can configure which clinicians are bookable for each appointment type. Follow these steps:
Step 1: Access the Appointment Types Screen
- Navigate to the Practice Settings section in your account.
- Select Scheduling, then open the Appointment types tab.
Step 2: Edit Appointment Types
- Locate the list of appointment types.
- Click the Edit button for the appointment type you want to modify.
Step 3: Locate Bookable Calendars
- A pop-up screen will appear. In the bottom-right area, you will find the Bookable calendars section.
- In smaller screen resolutions, this might be hidden under a scroll.
Step 4: Adjust Clinician Availability
- To make changes in the bookable calendars, we have four toggles:
- All clinicians: When on, this toggle ensures that all clinicians available in the practice are available.
- Patient assigned clinician: This toggle ensures that only the patient assigned clinician is available for the appointment.
- Selected clinicians: This option enables the Search clinicians field, in which you are able to select the clinicians you desire to be available. To remove a clinician, just select the X button at the right of his name.
- Bookable resources: This option lets patients book a resource—a room, a piece of equipment, or any bookable space—instead of a clinician. When you turn it on, the three clinician toggles above are disabled and the Search resources field is enabled, so you can pick the resources patients can book. Only resources with an active practice calendar appear in this field.
Step 5: Save Changes
- Once you’re satisfied with the selections, click Save.
Apply to All Appointment Types
Repeat these steps for all relevant appointment types to ensure only the desired clinicians are visible to patients during self-scheduling.
