Overview of Shipping in SigmaMD

Shipping lets your practice send items straight from a patient invoice, using USPS as the carrier, without leaving SigmaMD. It covers everything from creating the label to tracking the package after it leaves your office.

What You Can Ship

You can ship any physical item on a patient invoice, including inventory and non-inventory items. Commonly shipped items include:

  • In-office dispensed medications
  • Over-the-counter products
  • Supplements
  • Devices or monitoring tools

Shipping is only available through USPS. There is no option to ship with another carrier.

Shipments and Invoices

A shipment is a single package: the items inside it, its box or mailer, its addresses, and its shipping method. An invoice is not limited to one shipment—you can build several shipments on the same invoice, each with its own contents and its own label, and each numbered separately (Shipment 1, Shipment 2, and so on).

Whatever USPS charges to ship a package is added to the invoice as a line item, so the patient is billed for it along with everything else on the invoice.

Shipment vs. Shipping Label

It helps to keep these two ideas separate:

  • The shipment is the package itself—what's in it, where it's going, and how it's being sent.
  • The shipping label is the document you print and attach to that package. A shipment always exists first; the label is created for it, and it moves through its own statuses (such as pending, created, canceled, or refunded) that can change even after the shipment itself is set.

Where Everything Lives

  • Practice Settings: connect the shipping integration, manage package templates, and set your default print format.
  • Inside an invoice: add, edit, and manage the shipments for that invoice.
  • Shipment History (under Billing): a searchable log of every shipment your practice has created, with statuses, tracking numbers, rates, and labels.
