How USPay and ACH.com Handle Your Payments
Payments in SigmaMD are processed by USPay, but card payments and ACH (bank transfer) payments run through two separate sides of that relationship. Knowing which side a payment came through explains most of the questions practices ask about deposits, statements and fees.
The two sides
- Card payments — credit and debit — are handled by USPay. This is the merchant account you set up when you activated payments.
- ACH payments — bank transfers — are handled by ACH.com. Its per-transaction ACH fees are invoiced separately from your USPay statement.
Both sides deposit into the bank account on file for your practice, and both appear in SigmaMD the same way. The split matters mainly for deposits, statements and support.
Reading your bank statement
ACH deposits carry the descriptor CR Offset, usually with your practice name appended — for example Your Practice Name-CR Offset. If you see that descriptor and do not recognise it, it is an ACH payment deposit, not an unexpected charge.
Changing your bank account
This is the most common source of confusion. The bank account change request form updates the card side only. If you change your bank account and keep receiving ACH deposits into the old account, the ACH side has not been updated yet.
When you change banks, say explicitly that you need both the card side and the ACH side updated. See Changing Your Bank Account with USPAY for the request process.
Fees and statements
- Card processing fees are debited monthly and appear on your USPay statement — see Viewing Monthly Statements for Payment Processing Fees.
- ACH per-transaction fees are invoiced separately — see Understanding Your ACH Fee Invoice from ACH.com.
- Current rates for both are listed in Transaction Processing Fees.
Patient payments are deposited in full; processing fees are debited separately rather than netted out of each deposit. See When Will Patient Payments Reach My Bank Account?.
When something looks wrong
Before raising a deposit or fee question, work out which side it belongs to — it determines who has to investigate, and it is the first thing you will be asked:
- A deposit is missing, late, or went to the wrong account. Note whether it was a card payment or an ACH payment. Deposit timing and cut-offs are covered in When Will Patient Payments Reach My Bank Account?. Merchant account matters are handled by USPay directly rather than by SigmaMD.
- A fee or statement looks wrong. Identify which statement it came from — USPay for card, ACH.com for ACH — before raising it, as the two are billed separately.
- A payment failed or was returned. For ACH returns, see Understanding ACH Return and Notification of Change (NOC) Codes.
